About the register

Corporations Canada and the provincial and territorial business registries

Canadian company records sit on two levels. A company may incorporate federally under the Canada Business Corporations Act (R.S.C., 1985, c. C-44), administered by Corporations Canada, part of Innovation, Science and Economic Development Canada, or under the corporate statute of a province or territory. Corporations Canada runs a free online federal corporation search, and its services also cover annual return filing, certificates of compliance and existence, corporate document copies and registering federal corporations in provinces and territories.

Each province and territory keeps its own register with its own content. The Ontario Business Registry, administered by the Ministry of Public and Business Service Delivery and Procurement, launched on 19 October 2021; basic business information such as registered office addresses is available at no cost, profile reports and document copies are ordered for a fee, and Ontario corporations file an annual return through it within six months of their fiscal year end. In Quebec, most enterprises register with the Registraire des entreprises by filing a declaration of registration and are assigned a Quebec enterprise number (NEQ). Which documents are available, and what they contain, is set by each provincial register.

Transparency obligations differ by statute. Since 22 January 2024, corporations created under the CBCA must file information on their individuals with significant control with Corporations Canada, and some of that information is made available to the public.

How current is the information?

What is the Corporations Canada federal corporation search?
It is the free online search of federally incorporated entities offered by Corporations Canada, part of Innovation, Science and Economic Development Canada. Corporations Canada also handles federal incorporation, annual returns, certificates of compliance and existence, and copies of corporate documents.
Does Canada publish beneficial ownership information?
For federal corporations, yes in part. Since 22 January 2024, corporations created under the Canada Business Corporations Act must file information on their individuals with significant control with Corporations Canada, and some of that information is made available to the public. Positions under provincial statutes are a matter for each provincial register, and shareholder details appear in a Company Records report where the register publishes them.
What is an Ontario Business Registry annual return?
Ontario corporations must file an annual return through the Ontario Business Registry each year within six months of their fiscal year end, and report changes to their information within 15 days. The registry, launched on 19 October 2021, offers free basic searches, with profile reports, document copies and certificates of status available for a fee.
